From lead to meeting: how to book meetings buyers actually show up to

A booked meeting isn't a meeting yet. The buyer agrees to visit the showroom and then doesn't answer on the day. The sales rep logs it as «changed their mind», but most of the time the meeting failed when it was booked: no reason, no exact time and no confirmation. Below we cover how to book meetings people actually show up to, and how to measure it.

The reason for the meeting matters more than the invitation

«I'd like to present the project» is a weak reason: the buyer has already seen the renders and the price, and feels they know everything. A meeting makes sense when they'll get something there they can't get over messages.

Weak invitation
«Come by the showroom and I'll tell you more about the project.»
Invitation with a reason
«I've held two 2-bedroom units on the 8th floor for you. At the visit I'll show you how the light comes in at midday, and we'll run the payments with your down payment. Does Thursday at 5 pm or Saturday at 11 am work?»

The reason can be a specific unit, a calculation based on the buyer's payment method, a site visit that a video can't replace, or a time-limited offer. More examples in how to improve real estate lead conversion.

A specific date and time, within the next few days

  • Offer two specific options, not «whenever works for you». Picking one of two is easier than proposing one.
  • Book within the next 1–3 days. The further out the meeting, the more likely the buyer finds another project or changes their mind in the meantime.
  • Suggest the next step several times during the conversation, not just at the end. If the buyer isn't ready, ask what they'd need in order to come.
  • Know the payment method before the meeting. If it turns out at the meeting that there's no down payment, both sides wasted their time. First-conversation questions are in the guide on the qualified lead.
  • Offer a video call if the buyer is far away or not ready to come in yet. It's a meeting too, and it counts.

Confirmation and reminders

As soon as the buyer agrees, send a WhatsApp confirmation: date, time, address with a map pin, who will meet them, and what they'll see. Then two reminders:

WhenWhat to send
Right after bookingConfirmation: date, time, address with location, who meets them, what we'll show
The day beforeA reminder and a question: «¿Te confirmo para mañana a las 17:00?»
1–2 hours beforeA short message with the location and how to find the entrance or parking
WhatsApp meeting confirmation (sent in Spanish)
¡Listo, Ana!

That last line matters: when buyers know they can move the meeting, they're more likely to reschedule than simply not show up.

What to do when the buyer doesn't show

  1. The same day, 15–20 minutes after the start time, call and message. No blame: «Te estamos esperando, ¿todo bien?» (we're waiting for you, is everything okay?).
  2. Offer a new time within the next few days, again with two options.
  3. If they don't answer, the lead goes into the follow-up plan, not into «not interested».
  4. Record the no-show reason if you find out. The reasons show what to fix: the timing, the reason for the meeting, or qualification.

Call in a way that lets people pick up: if the buyer doesn't answer, let the phone ring longer, call back later, and follow up on WhatsApp. How to structure contact is covered in follow-up plan.

Which numbers to track

MetricHow to calculateWhat it shows
Qualified leads offered a meetingLeads offered a meeting ÷ qualified leadsWhether sales reps propose meetings at all
Meetings bookedMeetings with a date and time in the CRMThe sales rep's work in the conversation
Show rateMeetings held ÷ meetings bookedBooking quality: reason, timing, reminders
Cost per meetingAd spend ÷ meetings heldWhat a meeting costs in each channel
Meetings ending in a reservationReservations ÷ meetings heldThe sales rep's work at the meeting, and the product

Count meetings held, not meetings booked. A report of booked meetings looks good, but only the ones that happen turn into sales. How these numbers fit into the full funnel is covered in the real estate sales funnel guide.

Frequently asked questions

How do you book a meeting with a home buyer?

Give a specific reason (a held unit, a payment calculation, a site visit), offer two date and time options within the next 1–3 days, know the payment method beforehand, and send a WhatsApp confirmation right away.

How do you reduce meeting no-shows?

A confirmation right after booking, reminders the day before and 1–2 hours before, the location and the name of who'll meet them, and a line saying the meeting can be moved. If the buyer doesn't show, call and message the same day and offer a new time.

Which meetings should you count in the report?

Meetings held, not booked. Track the show rate separately, meetings held divided by meetings booked: it shows booking quality.
